However, no matter how easy the system is, the initial setup process can feel unfamiliar.
So in this article,
I will kindly guide you through the initial setup flow that stores introducing STOCK 5 MINS AGO must follow!
✅ 1. First, create a team
Since STOCK 5 MINS AGO is a system that can operate multiple stores,
you need to create your team in the workspace first when using it for the first time.
✅ 2. Invite user (staff/store owner) accounts
Operations require the participation of several people.
In STOCK 5 MINS AGO, you can refine permissions based on roles.
[Settings] > [Member Settings] to invite employees
Customizable functions to assign to each user
For example,
Store owners have access to all menus,
employees can only perform inventory checks and shipping & receiving,
this is how settings can be configured.
🙋🏻♀️ Tip: Please set permissions to prevent inexperienced part-timers from accidentally modifying data!
✅ 3. Try registering products
Now, you need to register the list of products to be managed as inventory in the system.
The shipping, receiving, and inventory check functions all operate based on this product information.
Click on [Data Management] > [Products] > [Register Product]
Input name, SKU, unit price, etc.
💡 When registering just one or two, input them manually,
and use the Excel bulk registration feature when registering multiple at once!
✅ 4. Create your own workflow with shipping and receiving status settings
Each store may have slightly different ways of handling incoming and outgoing products.
STOCK 5 MINS AGO allows you to set shipping and receiving statuses to create
your store's unique step-by-step processing flow.
Examples:
Order status: Ordered → Under Inspection → Received
Sales status: Shipping Request → Awaiting Shipping → Packing → Completed Shipping
Freely add/delete at [Data Management] > [Inventory Status]!
✅ 5. Prepare for real-time responses with dashboard and notification settings
If the setup is complete, it's time for real operations!
On the home dashboard, you can check information necessary for operations in real time, such as low inventory, shipping and receiving history, and obsolete inventory status.
Notifications for low inventory can be received
and you can easily filter to see only the needed products.
📲 On mobile, you can also receive push notifications for low inventory,
allowing for real-time responses even in busy stores!
