“I processed the stock but the quantity is different...”
“The shipped product was defective. Who verified it?”
When stock in and out occurs frequently in the store,
it can be ambiguous as to ‘who’, ‘when’, and ‘what quantity’ was processed.
In most cases, this happens because there is no inspection process or it is unclear.
That’s why STOCK 5 MINS AGO Shipment offers the Inspection Flow feature to
reduce omissions and errors, and assist in responsible stock management.
Today, I will explain why inspection is important,
and how you can utilize it in Five Minutes Before Shipment!
👀 What is an Inspection Flow?
Before processing stock in and out, the person in charge verifies the details once more,
and only after confirming that ‘everything is normal’ (inspection), they can proceed to the next step.
For example:
When stock comes in → Create purchase order → Inspection complete → Stock in processing is possible
When shipping out → Create sales order → Inspection complete → Shipping out processing is possible
This process allows you to recheck product quantity/status/information,
which can prevent mistakes and omissions in advance.
🔐 What is different about the Inspection Flow of Five Minutes Before Shipment?
Five Minutes Before Shipment doesn’t just categorize states,
it distinguishes between the person in charge and the inspector and provides a structure that automatically leaves a history and signatures.
Key Function Summary
Inspector designation required: After the person in charge verifies the written purchase order, stock in/out processing is possible
Automatic signature registration: When inspection is complete, the inspector's name is recorded, allowing for later history tracking
Reflected in PDF purchase orders: You can output the purchase order with signatures
**The default for the person in charge and the inspector is set to ‘logged-in user’** for convenience
✅ The person in charge and the inspector can be the same or different.
🔚 In conclusion
The Inspection Flow is a small difference but a key feature that reduces big mistakes.
The more frequent the stock in and out in the store, the greater the efficiency and stability brought by the inspection step.
